RecallMap is operated by VyanLabs. RecallMap helps organizations turn approved company knowledge from connected tools into governed records, memory, and agent-readable capability contracts.
This Privacy Policy applies to RecallMap websites, applications, APIs, and related services.
Information we collect
We collect account information such as name, email address, organization, login provider, and authentication metadata.
When a customer connects a source system, RecallMap may process source content, source metadata, user and permission context, timestamps, review decisions, approvals, comments, and generated knowledge records.
We also collect product usage data, device and browser information, log data, and security events to operate, secure, and improve the service.
How we use information
We use information to provide RecallMap, authenticate users, sync connected sources, create reviewed knowledge records, maintain freshness checks, enforce access controls, and support customer workflows.
We also use information to monitor reliability, investigate abuse or security incidents, improve product quality, communicate service updates, and comply with legal obligations.
Customer source data
Customer source data remains the customer's data. RecallMap processes it on behalf of the customer to provide the service.
RecallMap stores provenance so reviewed records can be traced to source text, source object versions, timestamps, and permissions. Customers are responsible for choosing which systems to connect and which users may access the workspace.
AI processing
RecallMap may send selected prompts, source excerpts, review context, and generated outputs to configured AI infrastructure so the service can detect policy candidates, summarize evidence, and answer questions.
Where third-party model providers are used, their processing is governed by the customer's configuration and applicable provider terms. We do not sell customer source data.
Sharing information
We may share information with service providers who help us host, secure, monitor, support, and operate RecallMap. These providers may access information only as needed to perform services for us.
We may disclose information if required by law, to protect rights and safety, in connection with a business transaction, or with the customer's direction or consent.
Retention and deletion
We retain information for as long as needed to provide RecallMap, meet legal obligations, resolve disputes, enforce agreements, and maintain security and audit records.
Customers may request deletion of workspace data, subject to legal, security, backup, and contractual retention requirements.
Security
We use administrative, technical, and organizational safeguards designed to protect information. No system is perfectly secure, and customers should configure source permissions, user access, and connected tools carefully.
Your choices
Depending on your location, you may have rights to access, correct, delete, export, or object to certain processing of personal information.

Changes to this policy
